Expense Approval Process
Approval Process and Timeline
Understanding how expense approval works helps you plan accordingly.
How Approval Works
```
Submit Expense → Review → Approved/Rejected → Payment
```
Approval Workflow
- Submission: You submit an expense report with receipts
- Review: The customer who posted the contract (or Automate America) approves or rejects it
- Payment: Approved expenses are paid on the net terms set for the contract
Who Approves Expenses
There are no amount-based approval levels. Each expense report is approved or rejected by the customer who posted the contract, or by Automate America (Expense Policy §7.3).
When Approved Expenses Are Paid
Approved expenses are paid on the net terms the customer set for the contract (shown on the contract).
Pre-Approval
Travel expenses over $500, equipment or tool purchases, training or certification fees, conference registration and communication expenses need pre-approval before you incur them (Expense Policy §7.1).
Tip
Submitting complete, accurate expenses with proper documentation speeds up approval significantly.
